Job Title: Administrative Assistant
Division: Chief Executive Officer’s Division
Location: Toronto
Reports to: Director, Organization Effectiveness & Administration

Overview

The Administrative Assistant works in the office a minimum of three days per week and provides Administrative support for the Director, Organization Effectiveness & Administration in the Chief Executive Officer’s division. The Administrative Assistant also provides back-up services for the Administrative team and Office Services.

Description of Responsibilities:

Supports the Director of Administration, including:

  • ordering and preparation of catering for CEO meetings;
    • Including setting up of meeting rooms;
    • Clean up of meeting rooms; and
    • Pal registration for guests.
  • preparation of meeting files;
  • travel itineraries;
  • expenses;
  • filing;
  • other administration;
  • collaborates with the CBA team with any special meeting events and arrangements (conferences such as IIF, and others).
  • member of the United Way Campaign Committee and Health & Safety Committee.
  • complete member portal change requests from CBA team members and CBA members.
  • provide back up to the Executive, Assistant, Senior Administrative Assistants, and Office Services Manager when required, including, but not limited to vacation coverage.

Key Qualifications, Abilities and Skills:

  • Minimum 2 to 3 years experience as an administrative assistant;
  • Experience in financial services is an asset;
  • Solid knowledge of and experience with Microsoft Word, Outlook, Excel, PowerPoint as well as and video conferencing technology;
  • Strong organizational, administrative, and problem-solving skills;
  • Excellent verbal and written communication skills and telephone manner;
  • Accurate with a high attention to detail;
  • Ability to work independently, assume responsibility and take initiative; and
  • Some knowledge of French is an asset.
